Meta is seeking a highly motivated, people lead to join the Global Administrative team as an Administrative Specialist Lead. The core focus of this team, which consists of both full-time and contingent workers, is to provide high touch administrative support to executives across the Meta organization. The day-to-day responsibilities of the team will be focused on services like people management, managing scope, calendaring, travel and expenses. As a Lead for this group, you will be expected to perform similar duties while monitoring bandwidth of your reports and act as an expert and source of knowledge for the team. This role also involves interacting with executive client groups and requires an ability to advise and influence various internal teams across the business. This person will need to be comfortable executing in a fast-paced environment, be highly organized, have strong communication skills, and build and use data for reporting metrics. This person should also have the ability to juggle multiple priorities and streamline processes.
Lead, Administrative Specialist Program Responsibilities
  • Manage team of administrative specialists
  • Maintain understanding of team workload and bandwidth, enforce the ratio guidance and/or manage exceptions if necessary
  • Serve as the backup for other team leads in the event of leaves
  • Serve as backup support for your direct reports client roster as needed
  • Provide regular and timely feedback and coaching to individual team members, peers and managers
  • Communicate frequently with supported leaders and cross functional partners to build relationships, and advocate for admins as needed
  • Monitor the pulse and morale of individual team members, drive personal experience initiatives to support team growth and development
  • Explore and drive opportunities to improve and streamline processes to reduce time spent on manual tasks and quality of services
  • Partner with ERBPs, HRBPs, Lead Admins, and supported clients in ensure lasting quality service
  • Serve as an expert on admin and company-related policies (travel, expenses) and enforce with the team as necessary
  • Serve as a power user of internal and external tools used by admins (Outlook, Concur, etc.), including feature enhancements, on internal tools that would better serve the admin community
Minimum Qualifications
  • 5+ years managing a direct team of individual contributors.
  • Experience handling client or partnership situations
  • Experience creating and using metrics and data
  • Experience with change management
Preferred Qualifications
  • 5+ years’ experience in an administrative role
  • BA/BS
  • Experience managing contingent workers
  • Vendor management experience
  • Experience influencing outcomes, without expressed authority
